Check your own
hallways and closets first.

Match surplus against demand inside your own group before anything reaches the wider network — with condition verified by a real onsite capture, not a listing description.

01Surplus surfaces automatically

Devices flagged as idle, decommissioned, or sitting outside their assigned location — before anyone writes a capital request.

02Internal matching runs first

03What's left reaches the network

The problem

One site writes a capital request. Another has four in storage.

Neither site knows about the other, so the system buys a device it already owns. Multiply that across a management group over one budget cycle and it stops being a rounding error.

Then, when surplus finally does get sold, it goes out at whatever a broker offers — because nobody can prove condition, and equipment a buyer cannot verify sells at a discount every single time.

$0.00M

in cost avoidance

One national management group, over twelve months — equipment redeployed internally instead of purchased new.

How it works

The cheapest device is the one you already own.

Redeployment starts inside your walls. Only when internal reuse is genuinely not an option does anything reach the wider network.

01Find what is idleDevices flagged as idle, decommissioned or off their assigned location surface automatically from the fleet record. Nobody has to remember what is sitting in a storage room at a site they do not work at.

02Match internally firstOpen capital requests across the group are matched against available surplus. A request for four infusion pumps meets four idle ones at a sister site before a purchase order exists.

03List with proof attachedWhat goes to the network carries the nameplate photograph, the service history and a verified condition record. Buyers can see the provenance, so equipment stops selling at a discount for being unverifiable.

Practical detail

What your team will want to know.

Listing visibilitySurplus is visible inside your own group first. After 30 days, trusted external buyers can make an offer.

Condition verificationEvery listing carries the nameplate photograph, service history and a recorded condition check from the original capture. Buyers can also book an independent inspection before committing.

Data sanitizationDevices with storage media are wiped before transfer, with a record of the sanitization attached to the disposition.

FeesNo transaction fees on internal redeployment or external sale. Both are included in your subscription.

Buyer networkVetted equipment vendors and refurbishers.

LogisticsTransport and de-installation handled end to end.

Data handlingNo PHI. CapExpert holds equipment records, not patient data, which keeps it outside HIPAA scope. Infrastructure runs on Google Cloud Platform, inheriting its SOC 2, ISO 27001 and encryption controls.

Questions

Check your own, answered.

How is condition verified, and by whom?

Condition is recorded by the selling facility at capture, with the nameplate photograph and full service history attached to the listing. So you are not taking a seller's word for it — you are looking at the same record their biomed team works from. Buyers can also arrange an independent inspection before committing.

Who can see our surplus listings, and at what point?

We start with your network. If there is no traction after 30 days, our trusted vendors review.

What happens to devices that do not find an internal match?

After 30 days with no internal match, the device is released to the vendor network. It goes out with the capture photographs, service history and condition record already attached, so it is not competing with unverifiable stock.

Are there fees on internal redeployment? On external sale?

No. There are no transaction fees on internal redeployment or on external sale — both are included in your subscription. You keep the full recovery value rather than losing a percentage to a broker.

How does this work with our disposition and data-sanitization policy?

Devices with storage media are wiped before transfer, with a record of the sanitization attached to the disposition.
